PHYSICAL EVENT FOR THE TELEFÓNICA CENTENARY CELEBRATION

The Telefónica centenary was commemorated with a physical event for employees on the 20th and 21st of April 2024 in four different cities: Madrid, Barcelona, Bilbao and Malaga.

At SOMOS Experiences, we wanted to encourage optimisation in the planning of this event. That’s why we created a form for Telefónica employees to register for the event along with their respective guests. Each venue (Madrid, Barcelona, Bilbao and Malaga) had its own registration form. Those who registered had to select the activities that they wanted to participate in that had a capacity limit.

Among the information requested in this form, personal details of both the employee and their guests were collected: name, surnames, age, ID card no., etc.

To keep the focus on sustainability, we included a carbon footprint calculation: those filling in the form were asked how many kilometres they had travelled to get to the event and which means of transportation they used.

Next was a breakdown of all the activities available at each event, differentiating between activities that had a capacity limit and those that didn’t. For each of the activities with a capacity limit, there was information about all the timings and the available capacity. Once the maximum permitted capacity was reached, the option to register was removed. Any scheduling incompatibilities were detected so that if someone registered for an activity at a particular time, they could not then select another activity in that same time slot.

After successfully completing the registration form, a registration confirmation email was sent which included the option to return to the form and amend the initial registration. On top of that, full technical support and assistance was provided throughout the registration process.

As a result of this form, we were able to verify that over 15,800 people registered for the Madrid event and over 1,000 people registered at the other venues (Barcelona, Bilbao and Malaga).
