How to manage permits for public space events?

We recently took part in a podcast organised by Eventoplus, where we discussed one of the major challenges in our industry: how to obtain permits for organising events in public spaces. Alongside other professionals, Margarita Calvo, our Client Director & Business Director, shared valuable advice on successfully navigating the bureaucracy to ensure smooth-running events.

During the discussion, we emphasised the importance of consulting the official guide, “Madrid: Acts in Public Spaces,” produced by Madrid Convention Bureau in collaboration with Grupo Eventoplus. Key recommendations include submitting applications at least 45 days in advance, avoiding last-minute changes to documentation, and correctly directing requests to the relevant districts.

We also addressed the significance of selecting strategic locations, taking into account the saturation of certain areas and restrictions on protected spaces, as well as complying with current regulations — particularly the Outdoor Advertising Ordinance — and ensuring timely payment of the applicable fees.

Margarita summarised it well: “Clients always want the most eye-catching location, but they also understand the bureaucratic challenges. Our role is to find the best possible site that offers the strongest visual impact without legal complications.”
